Important Dates and Deadlines

Friday, December 17, 2021, at 3 p.m. – Semi-Monthly Mass Advance of Hourly Time for 12/1/21 - 12/15/21.

Tuesday, December 21, 2021, at 1 p.m. – Prior Period Mass Advance of Time for the August 2021 time entry lock on December 31.

Thursday, December 23, 2021, at noon – Date of last checks processed in 2020 by AFM using local funds. See the complete list of End of Year 2021 Payment Processing Deadlines for more details.

Tuesday, January 4, 2022, at 3 p.m. – Semi-Monthly Mass Advance of Hourly Time for 12/16/21 - 12/31/21.

Wednesday, January 5, 2021, at noon – CSU Transaction Processing Deadline for the Monthly Mass EAJ/Term Process, which runs Friday, January 7

Tuesday, January 14, at noon – Mass End Employment Date Extension Process submission window closes.


Remember to Extend Positions to Avoid Potential Issues

Extending positions expected to continue into the next semester helps workers avoid the adverse effects of a gap in employment, including pay or benefit impacts or disruption in access to university resources. If you have ten or more fixed-term workers to extend, take advantage of the Mass End Employment Date Extension Process for student and nonemployee populations.

We added a Mass Process Matrix to the Mass Process Guidance page. The matrix provides at-a-glance information, including whether a process is automatic or user-initiated, requires preparation before each run, and the general cyclical schedule for each process.


New Time Completion Report Available to Timekeepers

Timekeepers now have access to the report Timesheet Completion Report for Worker - RPT1016 as part of the continuing Time and Absence Improvement Project. The new report allows Timekeepers to verify timesheet completion more efficiently for workers transferring to another organization or upon termination. askUS Support Extended Hours for Spring Start-up

From January 3-28, 2022, askUS Support will be available via phone or email from 7:30 a.m. - 5:30 p.m.to ensure departments receive the support they need during the busy period at the start of the spring semester. 

How do I create a University Affiliate job in Workday?

Most affiliates are nonemployees in Workday, and for a nonemployee, you would use the HireAdd Job, or Contract Contingent Worker business process, depending on the Worker Type. ICYMI – Opt Out of Receiving Paper Tax Forms for 2021

Electronic copies of Form W-2 and Form 1095-C will be available in Workday. Unless you opt out, UT will also mail paper forms to your home address. If you have not done so already, please change your printing elections for forms W-2 and 1095-C to electronic only in Workday. Instructions for accessing your tax forms and opting out of printing are available online.


ICYMI – Half-Month Salary Proration Reminder

Salary and Allowance Proration Reminders Teaching Assistants (TAs), Assistant Instructors (AIs), and Faculty (9 Month) follow the 9-month academic calendar based on semester start/end dates. Positions that end 1/15/2022 for fall or positions that begin 1/16/2022 for spring will receive half of the month's salary instead of the standard days-worked proration. Training Opportunities – Self-Paced or Instructor-Led

askUS Self-Paced Learning allows users to engage in training lessons and exercises at their own pace and convenience. Current offerings include Workday FundamentalsWorkday for Security Partners, and Financial Fundamentals.

Virtual Instructor-Led Training (ILT) courses are held via Zoom and require registration via UTLearn.
