Important Dates and Deadlines

Tuesday, May 18, 2021, at 3 p.m. – Semi-Monthly Mass Advance of Hourly Time for the 5/1/21 - 5/15/21 time period.

Friday, May 21, 2021, @ 1 p.m. – Prior Period Mass Advance of Time for February 2021.

Monday, May 31, 2021, at 10 p.m. – Prior Period Time Entry Lock for February 2021.

Wednesday, June 2, 2021, at 3 p.m. – Semi-Monthly Mass Advance of Hourly Time for 5/16/21 - 5/31/21.

Wednesday, June 9, 2021, at noon – Student Mass End Employment Date Extension Process submission window closes for summer 2021.

 


Workday Timesheet Alerts Now Active

Recently, employees who are required to fill out timesheets and their managers began receiving email alerts from Workday. The new alerts were created in response to feedback from campus in the Fall 2020 Frontline Survey to improve the timely submission and approval of timesheets. Use these Resources to Prepare for Summer Employment

The Preparing for Summer Employment 2021 webpage contains important dates and resources to assist departments as they begin employment processing for the upcoming summer sessions. Topics covered include mass processes, academic and student employment, onboarding, reporting, and training.

The Student Mass End Employment End Date Extension Process for summer 2021 runs until Wednesday, June 9 at noon for Hourly and Salaried Student positions. In addition to extending the end employment date of student employees, you can use it to update Scheduled Weekly Hours, Business Title, and Position Title. Mass Extend also covers changes related to creating TA/AI summer anchor jobs.

The Academic Employment Dashboard organizes information into subject tabs containing Workday matrix reports, standard reports, askUS training resources, and links to additional resources outside Workday. 

 


Answers to Common Questions Recently Received by askUS Support

How do I set my profile to use different desk/view combinations for certain screens in DEFINE?

You can use the YP2 command to specify up to 12 different default desk/view combinations in DEFINE. The YP2 command will also allow you to create a profile for use in FRMS.

Why am I getting the performance review manager acknowledgment step in my inbox for employees I don’t manage?

While this step is intended for managers, HR Associates, Partners, or Executives who initiate performance reviews for their units will also see this step in their inboxes. You can safely take no action and wait for the manager to complete the acknowledgment. That way, the manager can review any employee comments from the employee acknowledgment step. Why doesn’t the Workday Instructional Guide I downloaded last time I performed this task match what’s on the screen?

Users often download copies of training materials for convenience, but if it’s been a while since you used a downloaded piece of documentation, be sure to access the file again via the appropriate Workday training page to make sure you’re using the latest version. Our training team regularly updates documentation to ensure it matches changes made to Workday business processes.

Look Ahead: Employee Contract Data Report Retiring this Summer

The Employee Contract Data report in Workday will retire at the end of July. As a replacement, those who use this report can now view contracts in Workday by navigating to the Worker’s related actions > Job Change > Employee Contracts. Managing contracts for Non-Tenure Track Faculty remains the same as covered in the Maintain Non-Tenure Track Faculty Contracts - Workday Instructional Guide (WIG).

 


Training Opportunities – Self-Paced or Instructor-Led

askUS Self-Paced Learning allows users to engage in training lessons and exercises at their own pace and convenience. Current offerings include Workday Fundamentals and Workday for Security Partners.

Virtual Instructor-Led Training (ILT) courses are held via Zoom and require registration via UTLearn.
