Important Dates and Deadlines

Friday, May 1, 2020 – Submission window opens for the Student Mass End Employment End Date Extension Process which will run from May 1 to June 11, 2020, at noon for Hourly and Salaried Student positions.

Monday, May 4, 2020 @ 3 p.m. – Time will advance to Timekeepers for the Semi-Monthly Mass Advance of Hourly Time process for the 4/16/20 - 4/30/20 time period.

Wednesday, May 6, 2020 @ noon – CSU Transaction Processing Deadline for the April Monthly Mass End Additional Job / Termination Process Guidance process.

Friday, May 8, 2020 by noon – Monthly Mass End Additional Job / Termination Process Guidance process runs for all fixed-term employees and non-employees positions with an End Employment Date on or before April 30, 2020.

Tuesday, May 19, 2020 @ 3 p.m. – Time will advance to Timekeepers for the Semi-Monthly Mass Advance of Hourly Time process for the 5/1/20 - 5/15/20 time period.

 


Process Changes in Workday to Support New Hiring Policy

In order to support new hiring policies announced on April 14, we have implemented temporary changes to hiring and post job business processes in Workday. Transferring/Adding EPSL Hours Request Form Now Available

The Emergency Paid Sick Leave (EPSL) Hours Transfer/Add Request form is now available for use by Timekeepers and Absence Partners when assisting employees who need EPSL hours transferred or added to another position. Green Output Expansion Update

In our continued efforts to support those working remotely who rely on Mainframe Printing and to assist Document Solutions maintain social distancing, we have now added Green Output as a printing option to both VCM documents and IF2 reports. These join the following document types in DEFINE recently updated for printing to Green Output: VJ1, VP1, VP2, VP3, VP6, VP7, VP9, VPE, VPT, VE3, VT6, VJ3, VJ5, VE5, and VP5. Green Output is not only convenient but can help departments reduce pricing costs and save paper. These updates are the beginning of a series of improvements we are making to move printed documents and reports to electronic solutions.

Time Period Lockout

There are times when an hourly employee may not be able to access or submit their timesheets as expected due to the Time Period Lockout that prevents employees from submitting timesheets while Payroll Services is preparing semi-monthly paychecks. Some Employees who are unaware of the lockout schedule may believe they are experiencing an error. These employees should be reminded about the Time Period Lockout process. Learn more

Performance Appraisals and Employees with Multiple Jobs

For many, performance appraisal season is here, and it is important to understand how performance reviews are handled for employees with multiple jobs. Most review templates will route first to the manager or employee.  But if the employee has multiple jobs, it will route first to the HR Partner role. You should also remember that performance reviews are worker-based, not position-based.  This means when the process routes to the HR Partner role, it will route to HR Partners of all the employee’s jobs. Learn more

Workday to Receive Login Update on Saturday, May 2

On Saturday, May 2Workday Login will begin using UT’s new Enterprise Authentication service. During the update window, between 9 a.m. and noon, there may be a brief period when users will be unable to log in to Workday. Learn more

 


Fall 2020 Preview – Support for Mass Hiring of Student Workers

In response to your feedback that student hiring needed to be improved, we are happy to announce that a new system to streamline performing student Hires and Add Additional Jobs in Workday is on the way. The new service, known as the Mass Transaction Submission System (MTSS), allows HR Partners and HR Executives to upload, gain approval, and submit their student hires directly without needing to submit spreadsheets. Testing involving a select group of users will begin in June with a planned roll-out to all campus users in July 2020, before the fall hiring rush begins.  

 


Coming Soon – Self-Paced Online Learning for Workday

In May, we will release a new series of self-paced online courses for Workday. The first in this series will be Workday Fundamentals which is aimed at helping those new to HR/Payroll processing in Workday with the foundational knowledge including navigation, supervisory organizations, roles, and business process routing necessary for learning more advanced concepts. The courses are designed for users to complete on their own schedule, without having to find time to attend a fixed-time, in-person training class. More courses on additional topics will follow Workday Fundaments as they are developed.

 


Upcoming Workday Learning Opportunities Via Zoom

The Workday Training Team continues to offer virtual classroom courses via Zoom video conferencing to support the learning needs of Workday users. Registered participants will receive an email with the details necessary to join each virtual course.
