Important Dates and Deadlines

Wednesday, September 30, 2020 @ 10 p.m. – Prior Period Time Entry Lock for May and June 2020.

Friday, October 2, 2020 @ 3 p.m. – Time will advance to Timekeepers as part of the Semi-Monthly Mass Advance of Hourly Time process for the 9/16/20 - 9/30/20 time period.

Tuesday, October 6, 2020 @ noon – CSU Transaction Processing Deadline for the September Monthly Mass End Additional Job / Termination Process.

Wednesday, October 7, 2020 – September 2020 Close (Accounting).

Thursday, October 8, 2020 by noon – Monthly Mass End Additional Job / Termination Process runs for all fixed-term employees and non-employees positions with an End Employment Date on or before September 30, 2020.

 


Change Job Enhancements Available on October 8

Change Job enhancements announced in the September 16 edition of the askUS Newsletter will be available in Workday on Thursday, October 8. For more information on these enhancements, continue reading Enhancements for 12 Change Job Starting Points Coming in October. Designed with input from Colleges, Schools, and Units (CSUs) across campus, as well as Human Resources and Academic Personnel Services, these enhancements will provide more concise starting points for initiators, reduce routing when possible, and reduce the number of prompts necessary to complete a transaction. New training materials are available now for those wishing to learn how to use these Change Job enhancements. Available materials include Change Job – Workday Process Overview (WPO) and Start Job Change Workday Instructional Guide (WIG).

 


Fall 2020 Electronic Office Management (EOM) Training Sessions

This October, we will be offering three new Electronic Office Management (EOM) training sessions via Zoom for both new and experienced EOM managers. The first session, scheduled for October 7, is a special EOM Q&A session open to all experience levels. Attendees can submit questions in advance for our experts to answers during the session. Time permitting, we will take live questions as well. Please submit your EOM-related questions to fin.training@austin.utexas.edu by October 6, 2020.

Thank You and Survey Reminder for Time and Absence Project

Thank you to all who participated in the Workday Time and Absence Improvement Project discovery sessions! During a series of discovery sessions, representative Workday users from Colleges, Schools, and Units (CSUs) across campus, provided valuable feedback on their experiences using Time and Absence processes in Workday. We compiled their input into a survey we shared this week with Timekeepers, Absence Partners, and Time Associates. We will use the survey results to help prioritize what improvements we make as part of this project in the Time and Absence areaIf you received an invitation to participate in the survey and want to provide input into this important project, please complete your responses by the end of day Wednesday, October 7.

 


Recent Updates Reduce the TRB Gap for Graduate Students

As part of an effort to improve the Tuition Reduction Benefit (TRB) for Teaching Assistants (TAs) and Assistant Instructors (AIs), we recently enhanced the way FRMS determines tuition and awards. The changes simultaneously evaluate tuition and award data from both the Graduate School and the graduate program employing each student. This processing change gives a more accurate accounting of students' tuition covered by the Graduate School, effectively raising their coverage limit, thus reducing or eliminating the TRB Gap.

 


Answers to Common Questions Recently Received by askUS Support

We're trying to hire a part-time worker who is already working at UT. Can we transfer them?

In this situation, the key to knowing when to use Change Job—Transfer and when to use Add Job is to ask yourself, "will the worker's jobs overlap?" To learn more, continue reading Time to Transfer or Time to Add Job?

How do I correct a one-time payment on the wrong cost center account? 

If the one-time payment has not been paid out, send a request to Rescind the event to askUS@austin.utexas.edu and then re-do the one-time payment in Workday. If the one-time payment has been paid, follow the steps outlined in the askUS entry, Correct a One-Time Payment.

There’s a timesheet with 0 hours in my inbox that I can’t approve. What do I do?

When a terminated worker has hours entered and submitted on a timesheet after the effective termination date, this can cause a timesheet approval task to become stuck in your inbox with no option to submit it. Operational Support will need to advance the timesheet manually to completion. For assistance, contact askUS Support at askUS@austin.utexas.edu.

Now Available — Workday Training Resources Application

To make it easier to access instructional materials, you can now add the Workday Training Resources application to your homepage in Workday. The quicklinks in the application will take you directly to the corresponding training page on the Workday@UT website. Using feedback from process initiators across campus, we also reorganized the Workday Training webpages to make it easier to find the specific document you need. To learn how to add the new Workday Training Resources application, refer to this entry in the askUS Knowledge Base.

 


Training Opportunities – Self-Paced or Instructor-Led

askUS Self-Paced Learning allows users to engage in training lessons and exercises at their own pace and convenience. (No registration required to begin learning.)

  • Workday for Security Partners is intended for those assigned the Security Partner role in Workday. More information
  • Workday Fundamentals is designed for individuals who have a Workday security role that supports workers or an analyst role with the ability to view data. More information

Virtual Instructor-Led Training (ILT) courses are held via Zoom video conferencing to support the Workday users’ continued learning needs. (Requires registration via UTLearn.)
