Important Dates and Deadlines

Saturday, October 31, 2020 @ 10 p.m. – Prior Period Time Entry Lock for May and June 2020.

Tuesday, November 3, 2020 @ 3 p.m. – Time will advance to Timekeepers as part of the Semi-Monthly Mass Advance of Hourly Time process for the 10/16/20 - 10/31/20 time period.

Thursday, November 5, 2020 @ noon – CSU Transaction Processing Deadline for the September Monthly Mass End Additional Job / Termination Process.

Friday, November 6, 2020 – October 2020 Close (Accounting).

Monday, November 9, 2020 by noon – Monthly Mass End Additional Job / Termination Process runs for all fixed-term employees and non-employees positions with an End Employment Date on or before October 31, 2020.

 


eBITS Releases October 2020-March 2021 Project Roadmap 

Throughout the year, the eBITS team works with central business offices and campus partners on many initiatives, projects, and improvements to systems and services on which the UT community depends. This past year, our focus has been to reduce administrative burden for campus in small and large ways such as increasing data availability through Allocation Details, lessening transaction entry through the student mass transaction system, and almost entirely eliminating Tuition Reduction Benefit supplemental awards processing through automation. Reducing administrative burden, providing more and better self-service, and increased availability and ease of access to data will be some of our focus areas in 2020-21. The October 2020-March 2021 Roadmap of HR/Payroll and Financial projects is now available to campus. We want to thank everyone who provided input on proposed projects through discovery sessions or feedback surveys. An update on the April-September 2020 roadmap cycle is also now available.

 


New Allocation Details Updates Coming Soon!

Coming Soon! As part of a continuous improvement process begun with the release of the new financial tool in December 2019, Allocation Details will receive a significant update before the end of 2020. The eBITS Allocation Details team worked with members of the UT community from CSUs across campus to implement requested enhancements and expand the information available to those who depend on the report. Improvements include information for hourly workers, salary spread, earnings/allowances, and appointment history as far back as 1993. We will share more details and links to updated documentation with the release of the update.

 


Electronic Office Management (EOM) Q&A Session #2

Thank you to everyone who submitted questions or participated in the first EOM Q&A session on October 7. In response to your feedback, we will hold a second EOM Q&A session on Wednesday, December 9, from 11 a.m.-noon. This session is open to all experience levels, and participants are encouraged to submit questions in advance for our experts to answers during the session. Time permitting, we will take live questions as well. Please submit your EOM-related questions to fin.training@austin.utexas.edu by December 7, 2020. If you missed the first session or would like to see which topics were covered previously, links to the Zoom recording and presentation from the first session are now available.

We have a new employee who is unable to set up Direct Deposit. What do we do?

How do I set my profile to use different desk/view combinations for certain screens in *DEFINE?

The *DEFINE YP2 command allows users to specify 12 different default desk/view combinations for specific commands or menu screens in *DEFINE. For more information, continue reading Profiling Desk and View Combinations for *DEFINE Screens.

Is there a way to search for specific Workday reports by Keyword?

Yes! The Searchable Campus Reports List (Excel) provides an easy way to find the report you need. Filter by the type of report (ERP or Workday), workstream, security roles, and even keywords. For more help with reports, see the Reporting page on the Workday@UT website.

How can I view tickets I’ve submitted to askUS Support?

Support Ending for Adobe Flash and Microsoft IE

Adobe will end support for its Flash player software at the end of 2020. This change may affect users of financial systems who wish to access training videos on the AFM Training Resources page. The askUS Training Team is currently migrating the Flash-based training videos to a new format compatible with all supported browsers. We apologize for any inconvenience and will keep campus updated on the availability of new videos. In the meantime, anyone needing additional assistance should contact askUS Support at askUS@austin.utexas.edu.

Earlier this year, Microsoft announced plans to retire the Internet Explorer (IE) web browser. Due to this announcement, web-based applications and services maintained by eBITS may lose support for Internet Explorer (IE) as retirement nears. Although IE continues to be available, metrics show that less than 2% of people who use our systems do so through IE. We recommend updating to the latest version of Firefox, Google Chrome, or Microsoft Edge for uninterrupted access and ensuring systems function as intended.

 


Training Opportunities – Self-Paced or Instructor-Led

askUS Self-Paced Learning allows users to engage in training lessons and exercises at their own pace and convenience. (No registration required to begin learning.)

  • Workday for Security Partners – Training intended for those assigned the Security Partner role in Workday.
  • Workday Fundamentals – Training designed for individuals who have a Workday security role that supports workers or an analyst role with the ability to view data. 

Virtual Instructor-Led Training (ILT) courses are held via Zoom video conferencing to support the Workday users’ continued learning needs. (Requires registration via UTLearn.)
