Important Dates and Deadlines

Tuesday, May 19, 2020 @ 3 p.m. – Time will advance to Timekeepers for the Semi-Monthly Mass Advance of Hourly Time process for the 5/1/20 - 5/15/20 time period.

Tuesday, June 2, 2020 @ 3 p.m. – Time will advance to Timekeepers for the Semi-Monthly Mass Advance of Hourly Time process for the 5/16/20 - 5/31/20 time period.

Tuesday, June 9, 2020 @ noon – CSU Transaction Processing Deadline for the May Monthly Mass End Additional Job / Termination Process Guidance process.

Thursday, June 11, 2020 by noon – Monthly Mass End Additional Job / Termination Process Guidanceprocess runs for all fixed-term employees and non-employees positions with an End Employment Date on or before May 31, 2020.

Thursday, June 11, 2020 @ noon – Submission window closes for the Student Mass End Employment End Date Extension Process for Hourly and Salaried Student positions.

 


How Benefits Updates Will Affect Workday Users

Recent updates made by the UT System Office of Employee Benefits and announced by Human Resources mean that users will no longer be able to view their insurance coverage in Workday. However, users will be able to continue viewing their retirement plan enrollment in Workday. Workday Recruiting Hub Feature Now Available

The Recruiting Hub feature is now available for anyone who currently holds a Recruiter role in Workday. This feature provides a centralized location where Recruiters can easily take action on candidates in different stages, see candidates across job requisitions, and access a custom dashboard that includes Recruiting specific data, reports, and actions. Recruiters will also have the ability to configure shortcuts on their Hub to initiate certain business processes without losing their current view. Recent Updates to the Allocation Details Website

The Allocation Details website recently received the following updates and improvements.

  • Job details available on No Pay salary lines now include job profile, business title, supervisory organization, M/H amount, hours per week, and basis.
  • Allocation lines for non-exempt workers with weekly pay segments have been collapsed into more compact time segments when the payment dates on the segments are contiguous.
  • Made improvements to the accuracy of dates used for cases involving retroactive job code changes and cost transfers.

NEW! Workday Fundamentals Self-Paced Learning

Workday Fundamentals is the first course in the askUS Self-Paced Learning series and replaces the in-person, Instructor Led Training (ILT) introductory class. This course is designed for individuals who have been assigned Workday Security Roles that support workers or have analyst roles with the ability to view data. The lessons in this course are designed specifically to teach the foundational concepts of the system at an entry level. Experienced Workday users may find this information useful as a knowledge refresher. Continue to Workday Fundamentals

askUS Self-Paced Learning is a new series of courses designed for users to complete at their own pace and convenience. Each course focuses on specific topics or areas of work. We are currently developing additional courses that focus on specific business processes and other advanced topics.

How do I change my Primary Email Address or my Work Email Address?

To update personal information in Workday, including email addresses, refer to the Edit Personal Data – Workday Instructional Guide for step by step instructions. Is a rescind the only way to fix a problem with a business process?

No. A rescind can often be avoided by following the steps outlined in the Rescind Transaction Guidance. As long as a business process is still in progress, it can be canceled. Even when a business process has been final approved, you may be able to fix it by taking additional action in Workday. If your transaction still needs to be rescinded, submit a Request for a Rescind of Completed Transaction form to Operational Support at askUS@austin.utexas.edu.

Why can't I add a person's UT EID to a desk in Electronic Office Management (EOM)?

Make sure the person’s UT EID is upgraded and they are a current employee or nonemployee. Learn more

Reminder – Student Mass End Employment Date Extension Process

The Student Mass End Employment End Date Extension Process is open and will run until June 11, 2020, at noon for Hourly and Salaried Student positions. In addition to extending the end employment date, changes to Scheduled Weekly Hours, Business Title, and Position Title can also be made through this process, including changes related to creating TA/AI summer anchor jobs.


Upcoming Workday Learning Opportunities Via Zoom

The Workday Training Team continues to offer virtual Instructor Led Training (ILT) courses via Zoom video conferencing to support the learning needs of Workday users. Registered participants will receive an email with the details necessary to join each virtual course.
