Important Dates and Deadlines

Friday, December 2 at 3 p.m. – Semi-Monthly Mass Advance of Hourly Time for 11/16/22 - 11/30/22.

Wednesday, December 7 at noon – CSU Transaction Processing Deadline for the Monthly Mass EAJ/Term Process for all fixed-term employee and nonemployee positions, which runs Friday, December 9.

Friday, December 9 at 5 p.m. – Submission window closes for the NTT Faculty Mass Processes.

Monday, December 19 at 3 p.m. – Semi-Monthly Mass Advance of Hourly Time for 11/1/22 - 11/15/22.

Wednesday, December 21 at 1 p.m. – Prior Period Mass Advance of Time for the September 2022 time-entry lock on December 31.

Thursday, December 22 at noon – End of Year 2022 Payment Processing Deadline

Start Preparing for Spring 2023 with these Resources

The Preparing for Spring 2023 webpage is now available. The page contains important dates and resources to assist departments in preparing for HR processing in support of the upcoming spring semester. Topics covered include mass processes, academic and student employment, onboarding, reporting, and training.


Spring 2023 Mass Process Submission Windows Now Open

Non-Tenure Track (NTT) Faculty Mass Process assists offices with managing NTT Faculty contracts by centrally processing Renew, Inactivate, and Reactivate transactions before the start of the spring semester. The submission window runs from Monday, November 28, to Friday, December 9, at 5:00 p.m. 

The Mass End Employment Date Extension Process will run from Monday, November 28, 2022 – Wednesday, January 11, 2023, at noon. In addition to extending the end employment date, offices can also make changes to Scheduled Weekly Hours, Business Title, and Position Title through this process.


Add Your Phonetic Name Pronunciation in Workday

In support of the You Belong Here campaign for equity and inclusion at UT, employees can now add a phonetic pronunciation key to their name in Workday using the Change My Name Pronunciation task. Finding Reports in Workday gets easier in December

On December 13, a Report of Reports will become available in Workday. The new report is a response to the campus's need for a better method to search the hundreds of custom reports that exist in Workday. End of Year 2022 Payment Processing Deadlines

The Accounting and Financial Management (AFM) will be closed during the holidays from Friday, December 23, 2022, through Friday, December 30, 2022. Normal business hours will resume on Monday, January 2, 2023. AFM will not issue or distribute payments during this time. Payroll Services: Split Deposits Now Available in Workday 

On November 16, Payroll Services announced the ability for employees to split payroll deposits between two different accounts or institutions by either a stated dollar amount or a percentage. Instructions in English and Spanish are available on the Employee Resources help page. If you have questions, please contact Payroll Services at payroll@austin.utexas.edu

How do I grant building access to a new volunteer?

Volunteers or other nonemployee workers who need access or services, such as building access or use of the campus wireless network, must have the correct privileges. Check the askUS Knowledge Base to learn which privilege type best fits your nonemployee's needs and how to give them those privileges.

What should I do if an office or room isn't available in the list of Work Spaces in Workday?

If you are updating a worker's Location in Workday and cannot find a room that you feel should already exist in Workday, follow the suggestions in the askUS Knowledge Base entry, Workspace Location is Not Available in Workday.

How can I see all manual signers for a budget group?

You can use the GBS screen within DEFINE to see all official and delegated manual signers for a budget group or account. GBS lists all delegated signers, while the CA3 screen will only list the first three delegated signers. When will a retro cost transfer post to DEFINE?

The Faculty Compensation – D0002 visualization provides offices that manage faculty positions the means to view the full compensation amount for faculty members by fiscal year. The new tool categorizes compensation as either Planned or Additional, providing a complete view of faculty compensation across organizations and units. Training Opportunities – Self-Paced or Instructor-Led

askUS Self-Paced Learning allows users to engage in training lessons and exercises at their own pace and convenience.

Virtual Instructor-Led Training (ILT) courses are held via Zoom and require registration through UTLearn.
