Onboarding Gotchas that can Trip-up Future-dated Hires

While new workers can complete many onboarding tasks before their start date, two common tasks depend on the worker’s actual start date. Be sure to communicate this to new workers with future-dated hires, so they don’t get tripped up by date-related issues.

  1. Workers who must complete an I-9 may be unable to upload I-9 documents due to the Worker Profile being inaccessible to the worker until their start date. For more information about completing the Form I-9, refer to HR's recently updated Form I-9 and E-Verify Resources.
  2. New workers must register (or be registered) through UT Learn for New Employee Welcome and Orientation (NEWO) but are unable to if their start date is more than 30 days in the future.

Important Reminder

Remember to ensure the Hire process is final approved and Onboarding launched before asking your new worker to log in to Workday and begin onboarding. You can find more detailed information on the Recruiting and Onboarding & I-9 documentation pages. Additionally, the Onboarding Workday Process Overview (WPO) can help you and your new employee know which tasks they can perform before their start date.
