Contingent Worker Changes Aim to Reduce Staffing Delays

April 24, 2023
On April 27, a change to Workday will limit the use of the worker type Contingent Worker to the A003 - Independent Contractor and A004 - Employee of Contractor job profiles. With this change, Colleges, Schools, and Units (CSUs) will need to hire all other nonemployees using the Hire business process with an employee type of Nonemployee. This change only applies to new nonemployees. CSUs will not be required to convert current Contingent Workers to employees

Update Aligns I-9 Documentation and Guidance

Form I-9 Section 1 and Section 2 Workday Instructional Guides (WIGs) were recently updated to ensure consistency with HR guidance on the Form I-9 and E-Verify Resources website and to clarify instructions for employees and I-9 Partners completing the Form I-9 process in Workday.

Contract Payment Tracker Now Available

April 12, 2023
The Contract Payment Tracker (CPT) is now available to campus as part of phase 2 of the Contract Payments Tracking Project. Also, VP2 and VPE documents in DEFINE will now audit transactions related to processing contract payments to ensure that payments under a business contract do not exceed the approved dollar limits of the contract. Together these changes improve the ability of departments to monitor payments related to business contracts in the Contracts+ system.

New Professional Student Job Families Available in Workday

Two new job families now exist in Workday as a response to the needs of Colleges, Schools, and Units (CSUs) that employ professional students. The Professional Student – Academic and Professional Student – Non-Academic job families will reduce Student Employment Eligibility (SEE) report errors and help CSUs manage staffing professional students more efficiently.

What to do when the leave payout report shows an ineligible worker

Occasionally a worker accrues Vacation or Sick Time Off that they are not eligible to use or be paid for upon separation. For example, a worker accrues time off in a month when they did not work or loses vacation eligibility before they have met the continuous State of Texas service eligibility requirement.
